Gardenia Aesthetics & Wellness Practice Policies

Welcome to Gardenia Aesthetics & Wellness. Our goal is to provide safe, professional, and exceptional patient care. Please review the following policies regarding appointments, treatments, payments, communications, and clinic operations.

By scheduling an appointment, receiving services, using our website, or communicating with our office, you acknowledge and agree to these policies.

 

Appointments and Scheduling

Appointments may be scheduled online, by phone, by text message, or in person.

Appointment requests are not considered confirmed until you receive confirmation from our office.

Gardenia Aesthetics & Wellness reserves the right to reschedule, modify, or cancel appointments when necessary due to provider availability, emergencies, equipment issues, or other operational needs.

Cancellation and No-Show Policy

We respectfully request a minimum of 48 hours' notice for appointment cancellations or rescheduling.

Appointments canceled, rescheduled, or missed with less than 48 hours' notice may be subject to a cancellation fee and/or forfeiture of any deposit paid.

Patients who fail to appear for a scheduled appointment without notice will be considered a no-show and may be charged a no-show fee.

Repeated late cancellations, rescheduling requests, or no-show appointments may require a non-refundable deposit before future appointments can be scheduled.

Gardenia Aesthetics & Wellness reserves the right to limit scheduling privileges or discontinue scheduling services for patients with excessive cancellations or missed appointments.

We understand that emergencies and unforeseen circumstances can occur. Cancellation fees may be waived at the sole discretion of management under certain circumstances.

Late Arrival Policy

We ask that patients arrive on time for their scheduled appointments.

Patients arriving more than 15 minutes late may be required to reschedule their appointment depending on provider availability and treatment duration.

To avoid delays for other patients, treatment time may be shortened when clinically appropriate.

Late arrivals may still be subject to the full treatment fee, cancellation fee, or forfeiture of deposit if the appointment cannot be completed as scheduled.

Consultation Policy

All medical aesthetic and wellness treatments require an appropriate consultation and evaluation.

Recommendations are based on individual medical history, treatment goals, provider assessment, and clinical judgment.

Consultations do not guarantee treatment eligibility.

Gardenia Aesthetics & Wellness reserves the right to decline treatment if a procedure is deemed medically inappropriate or unsafe.

Informed Consent

All medical and aesthetic procedures require informed consent.

Prior to treatment, patients will be provided information regarding:

  • Risks

  • Benefits

  • Alternatives

  • Potential side effects

  • Expected outcomes

  • Post-treatment instructions

Patients are encouraged to ask questions before consenting to treatment.

Treatment Results Disclaimer

Individual results vary.

No guarantees are made regarding:

  • Weight loss outcomes

  • Cosmetic outcomes

  • Duration of results

  • Treatment effectiveness

  • Patient satisfaction

Testimonials, reviews, before-and-after photographs, and social media content represent individual experiences and are not guarantees of future results.

Medical Weight Loss Program Policies

Participation in medical weight loss programs requires medical evaluation and approval by a licensed healthcare provider.

Treatment plans may include lifestyle recommendations, nutritional guidance, exercise counseling, prescription medications, laboratory monitoring, follow-up visits, and ongoing coaching.

Patients are responsible for:

  • Following treatment instructions

  • Reporting side effects promptly

  • Attending recommended follow-up appointments

  • Providing accurate medical information

  • Maintaining communication regarding treatment concerns

Weight loss outcomes vary significantly among individuals.

Failure to follow treatment recommendations may affect outcomes and eligibility for continued participation.

Medication Policies

Prescription medications, including compounded medications, may only be prescribed when medically appropriate.

Medication availability may vary based on pharmacy supply, regulatory requirements, and provider discretion.

Once medications have been ordered, dispensed, compounded, or shipped, they are generally non-refundable.

Patients are responsible for properly storing medications and following prescribed instructions.

Telehealth Services

Certain consultations and follow-up appointments may be conducted through telehealth technologies.

By participating in telehealth services, patients acknowledge that:

  • Telehealth has limitations compared to in-person evaluations.

  • Technical interruptions may occur.

  • Certain conditions require in-person assessment.

  • Providers may determine telehealth is not appropriate for a particular medical concern.

Clinical decisions remain at the sole discretion of the treating provider.

Payment Policy

Payment is due at the time services are rendered unless otherwise agreed in writing.

Accepted forms of payment may include:

  • Electronic payments

Outstanding balances may delay future appointments or services.

Refund Policy

Medical services, consultations, injections, procedures, memberships, treatment packages, and prescription medications are generally non-refundable.

Because medical and aesthetic outcomes vary between individuals, payment is for professional services rendered and not for guaranteed results.

Products may be eligible for return only if unopened, unused, and approved by management within the allowable return period.

Memberships and Promotional Programs

Memberships, treatment packages, promotions, discounts, and special offers are subject to individual program terms and conditions.

Benefits, pricing, eligibility requirements, and availability may change without notice.

Unused services may expire according to the terms of the specific program.

Membership fees are generally non-refundable.

Photography and Treatment Images

Clinical photographs may be obtained for:

  • Medical documentation

  • Progress monitoring

  • Quality assurance

Patient photographs used for marketing, educational, social media, or promotional purposes require separate written authorization.

Refusal to authorize marketing use of photographs will not affect eligibility for treatment.

SMS Messaging Notice

By providing your mobile phone number and opting into SMS communications, you consent to receive recurring text messages from Gardenia Aesthetics & Wellness.

Message frequency varies.

Message and data rates may apply.

You may opt out at any time by replying STOP.

For assistance, reply HELP or contact our office directly.

Consent to receive text messages is not a condition of receiving healthcare services.

Wireless carriers are not responsible for delayed or undelivered messages.

AI-Assisted Communications

Gardenia Aesthetics & Wellness may utilize artificial intelligence technologies, automated communication systems, and virtual assistants to assist with:

Patient Conduct Policy

To maintain a safe and professional environment, Gardenia Aesthetics & Wellness reserves the right to refuse or discontinue services for individuals who:

  • Harass staff or other patients

  • Display abusive conduct

  • Provide fraudulent information

  • Violate clinic policies

  • Interfere with patient care

  • Compromise safety within the clinic
